<p>2. You will be redirected to the list of documents attached to your current record. Check the box <strong>Show supported files only</strong> to display documents you can edit in airSlate PDF Editor. Then, select a document and click <strong>Proceed</strong>.</p>

<p>3. In the editor, add text to your document, fillable fields, graphic elements, and many more. If you have fillable forms attached to your record, they’ll be activated in the editor, and you’ll be able to fill them out. Once you’ve finished editing, click <strong>Done</strong>.</p>

<p>Since in the settings we’ve selected to create a new document version every time the document has been updated, you can see a new file in the list. If you select to override the existing file, the latest version will replace the previous one, and the number of documents won’t change. By default, every document version gets a name containing its update date and time.</p>

<p>With several campuses across the Valley and a large amount of adjunct faculty, FPU offers full-time courses in business, natural and social sciences, humanities, religion, pedagogics, and more. In addition, the university teaches online programs and personal development studies, reaching about 10,000 students across the entire U.S. Always encouraging its students to achieve more, Fresno Pacific University has the region&#8217;s highest four-year graduation rate.</p>

<h2 class="wp-block-heading" id="h-the-problem">The problem</h2>



<p>With a vast number of adjunct faculty, Fresno Pacific University was tasked with processing thousands of employment contracts that needed to be signed by multiple parties and paid on a regular basis. Before switching to airSlate, FPU used to rely on manual, paper-based workflows, which eventually caused multiple issues.&nbsp;</p>



<p>Despite using the Mail Merge feature in Salesforce (which allowed for automating the process of generating personalized documents), adjunct contracts took hours to process and sign, creating huge overhead. Eventually, the contracts would be sent to employees by physical mail, and as a result, the university administration couldn’t get their hands on signed documents for weeks. Meanwhile, the law in California obliged employers to pay their adjunct staff regardless of if they had signed their contracts or not. Hence, the need for a swift eSignature solution became critical in averting potential financial risks.</p>

<p>Before their introduction to airSlate from a partner, OMI used to have two different systems for their master service agreements. Thus, opportunities and quotes needed to be transferred manually before they could become sales orders. airSlate helped with consolidating several of these smaller processes into a single workflow. The time-saving effect from this consolidation was notable almost immediately:</p>

<p>Once contract negotiation &amp; redlining was <a href="https://www.airslate.com/integrations/salesforce?utm_source=web&amp;utm_medium=blog&amp;utm_campaign=omi_customer_story" target="_blank" rel="noreferrer noopener">integrated via airSlate with OMI’s sales workflow in Salesforce</a>, the number of manual iterations was quickly brought to a minimum. Paul describes it as “turning into the click of a button.”</p>

<p>OMI came to know about airSlate, as a standalone product and a vendor of signNow, about a year ago. Almost immediately, they realized that airSlate was the perfect match for what they were already doing, primarily due to the accumulated experience with the custom applications of Salesforce, Dynamics, and some other software systems.</p>



<p><strong><em>Today, OMI is implementing airSlate for:</em></strong></p>



<ul class="wp-block-list"><li>companies that are already using Salesforce or Dynamics 365,</li><li>companies that were introduced to airSlate independently but are lacking resources to implement it by themselves,</li><li>organizations interested in customizing <a href="https://blog.signnow.com/building-vs-buying-esignature-api/?utm_source=web&amp;utm_medium=blog&amp;utm_campaign=omi_customer_story" target="_blank" rel="noreferrer noopener">signNow API</a> solutions (integrating eSignature functionality into their existing business flows).</li></ul>

<p>As Paul describes it: <strong><em>“The breakdown between current airSlate users and those who come as Salesforce users is close to 50/50. Some customers also come through our joint partnerships, such as AppDirect or AppSmart.”</em></strong></p>



<h2 class="wp-block-heading" id="h-omi-s-selected-use-cases">OMI&#8217;s selected use cases</h2>



<p>Paul has a wide range of success stories from businesses of all sizes and industries in his portfolio. Below are a few of OMI’s selected use cases:</p>



<h3 class="wp-block-heading" id="h-1-a-non-profit-organization-saving-up-to-25-hours-each-week">1. <strong>A non-profit organization saving up to 25 hours each week</strong></h3>



<p>“They purchased airSlate, and then came to us for implementation. At that point, they didn’t have <a href="https://www.omi.co/crm-configuration/crm-workflow-automation/?utm_source=web&amp;utm_medium=blog&amp;utm_campaign=omi_customer_story" target="_blank" rel="noreferrer noopener">Salesforce or any other CRM</a>. They only had Dropbox, and they were an actively hiring organization, sending around 20 documents to each applicant! <strong><em>With our help, this whole process is now organized in airSlate, and manual work is almost entirely eliminated. They quoted 20 to 25 hours of work saved per week.</em></strong>”</p>

<p>“Legal work comes with a significant amount of documents that need review, approval, signatures, and so on. For them, we did exactly what we do internally with our sales processes and Salesforce. <strong><em>With the click of a button, you pre-fill the document, send it out, perform the negotiations, and get all the changes accepted. Then everything gets signed and attached to your records.</em></strong> Any document can change its status and move inside and outside the organization without any manual handling involved.”&nbsp;&nbsp;</p>



<h3 class="wp-block-heading" id="h-3-customers-migrating-from-docusign-to-airslate">3. <strong>Customers migrating from DocuSign to airSlate</strong></h3>



<p>Today’s SaaS market is already quite dense. The competition is fierce as business customers feel at liberty to switch to an alternative whenever they are not satisfied with the pricing model and/or the functionalities offered:</p>



<blockquote class="wp-block-quote is-layout-flow wp-block-quote-is-layout-flow"><p><strong>“We see a lot of customers migrating to airSlate from DocuSign. airSlate seems to be a bit more powerful than DocuSign. DocuSign has been embedded in Salesforce for a while already but lacks some sophistication in areas that are now of interest to our customers. This includes things like integrated business processes and automated workflows. <p>When concluding our interview, we asked Paul a question we felt was most applicable to digital transformation and workflow automation moving into 2022:</p>

Most probably, they do not realize the tremendous time-saving effect from it. And not only internally but also for customers and other stakeholders. I would recommend starting small. Many people try to bite off too much from this automation pie. Start small, with one or two key processes. Continuous improvement is great. <p>Before airSlate, T2&nbsp;had been using MS&nbsp;Word and Adobe Acrobat to&nbsp;process forms and sensitive information. Due to&nbsp;the compliance process for obtaining medical data, T2’s inability to&nbsp;revisit their forms and complete them at&nbsp;a&nbsp;later time without having to&nbsp;restart an&nbsp;entire workflow was causing unnecessary delays.</p>



<h2 class="wp-block-heading" id="h-addressing-the-issues">Addressing the issues</h2>

Matero recalls, “airSlate’s ability to seamlessly integrate with Salesforce allowed us to easily disseminate important forms to end-users.&nbsp;<strong>It can automatically attach completed forms that meet compliance regulations back into Salesforce.</strong>”</p>

Another frustrating challenge T2’s office of around 30 employees was facing was access to unfinished forms. «We are also very pleased with the feature that allows us to save unfinished forms and return at a later date to complete them,» says Matero. «The process of filling out our forms is easier. The end-user’s ability to enter the correct information into the form fields the first time has improved.»</p>

<li>Add the documents you intend to use.</li>

<p>1) exporting data from your Salesforce record to the Slate (a document or spreadsheet).</p>

<li>Connect your Salesforce account to your airSlate workflow and select the instance you will use: <b>Production</b>, <b>Sandbox</b>, or <b>Custom URL</b>.</li>



<li>Choose the Salesforce base object with the record you need (e.g., you want to export <b>Contacts</b> from Salesforce).</li>



<li>Set the correspondence between the Salesforce record fields and the document fields (where you will export the data).</li>



<li>Select the Bot execution condition that will trigger the Bot to act (e.g., the Bot will be triggered once a specific field in the document is filled in).</li>
</ol>

<p>To move the exported data from the document to a Google Sheet, set up the <a href="https://www.airslate.com/bot/google-spreadsheets-export?utm_source=web&amp;utm_medium=blog&amp;utm_campaign=export_salesforce_data" target="_blank" rel="noreferrer noopener"><b>Export to Google Sheet</b> Bot</a>:</p>

<li>Connect your Google account to your airSlate workflow and select the Google Sheet you intend to populate with data.</li>



<li>Set the correspondence between the document fields and the fields in the Google Sheet.</li>



<li>Select the Bot execution condition that will trigger the Bot to act.</li>

<p>Once the execution condition is met, the data will be automatically exported from the document to the selected Google Sheet.</p>

<h2 class="wp-block-heading" id="t4">How to export data using native Salesforce functionality</h2>



<p>The native Salesforce Data Export tool allows users to pull data from Salesforce once per week/month and/or schedule mass exports once a month. Once the export is configured, the Data Export tool emails a link to a downloadable CSV file the Salesforce user has to manually download on their device.</p>



<p>On the one hand, using a native tool within the Salesforce environment is convenient, since it doesn’t require any third-party apps or plug-ins. On the other hand, the native Salesforce Data Export tool only automates half of the process, as users still have to download the CSV file manually.<br><br></p>



<p><b>Follow the step-by-step instructions below to set up a Salesforce data export using the Data Export tool:</b></p>



<p>1. Start by clicking Setup, then expand Data Management on the left side of the screen, and then click Data export.</p>



<p>2. You will be presented with two options &#8211; “Export Now” or “Schedule Export”.</p>



<p>The “Export Now” option allows users to manually extract Salesforce data once per month. Users of Enterprise, Performance, and Unlimited Editions can export data every week.</p>



<p>Select the data you intend to export, then click Save. Once the file(s) are ready for download, you will receive an email notification.</p>



<p><b>Take note:</b> the exported file(s) will be available for download for 48 hours. Click Download to retrieve the ZIP archive containing the CSV file to your device.</p>



<p>3. The “Schedule Export” option allows for automating the process of executing a Salesforce data export on a monthly basis. Set the frequency, select the data you need exported, and then click Save.</p>



<p><b>Take note:</b> the exported data will be pulled automatically into a CSV file on the schedule you’ve set. After that, you’ll need to manually save it to your device.<br></p>



<h2 class="wp-block-heading" id="t5">How to export Salesforce data using a custom script</h2>



<p>The Salesforce platform can be expanded with the pre-programmed <a href="https://en.wikipedia.org/wiki/Extract,_transform,_load" target="_blank" rel="noopener">Extract, Transform, Load tool</a> or script. ETL refers to the procedure of pulling data from one or several sources into a destination system which then processes the data and represents it differently from the source or in a different context.</p>



<p>An ETL tool/script is capable of extracting data from Salesforce into CSV format and outputting the aggregated files in a target destination for analysis or retention. For instance, a <a href="https://www.lynchpin.com/blog/automating-salesforce-report-exports-in-python/" target="_blank" rel="noopener">custom script in Python</a> or <a href="https://github.com/carojkov/salesforce-export-downloader" target="_blank" rel="noopener">Ruby</a> allows for automating the process of downloading files from Salesforce to a local computer. After that, a script sends out an email notification per the download’s completion or failure.</p>



<p>Overall, configuring a custom script is a great option for both tech-savvy users or if there’s a way to leverage the IT department. On the other hand, for an average business user, pre-programming a script to automate a Salesforce data export requires technical skills and knowledge of programming they simply may not have.</p>

<p><span style="font-weight: 400;">For a long time Rock The Street, Wall Street was using PDFfiller’s DaDaDocs for Salesforce to generate and fill documents.
